What this notice covers
This website, business enquiries from dental practices, practice-contact research and outreach, and unsubscribe requests. Clinical case information is addressed separately below.
What this website collects
The main website pages have no enquiry forms, advertising code or analytics. Their typeface, pictures and code are served from this site. The site code does not set cookies or use local or session storage to remember your visit.
Cloudflare hosts and protects the website. It receives technical request details, including your IP address and browser information, to deliver the pages and protect the service. This is different from advertising or analytics tracking.
The separate unsubscribe page has a confirmation form. Opening that page does not change your marketing preferences; confirming an unsubscribe records your request.
If you follow a link to WhatsApp or Google Maps, that service's own privacy notice applies.
What we keep when you contact us
- Your name, your practice, and the phone number, email address or WhatsApp number you contact us from.
- What you ask us, and our replies.
- If you open an account, the practice's address and the details we need to send cases back and to invoice.
Practice-contact research and outreach
We may record a practice's public business contact details, website, location and relevant publicly described services, together with the source and date checked. We use this information to assess whether our laboratory service is relevant and to manage appropriate business contact. We also keep the messages and responses needed to handle an enquiry.
Where an address identifies an individual, this is personal information. A published address is not permission to send marketing. We check the applicable contact route and respect objections. We do not add patient information to our outreach records or use tracking pixels to measure email opens.
Outreach comes from mo@vertexdentallabs.com. You can reply there to ask where we obtained your details or to stop marketing.
Unsubscribe records
You can stop marketing by replying to the email or using its unsubscribe option. We keep a suppression record so that removing a contact from a prospect list does not cause us to contact them again.
When you confirm an unsubscribe, the service records a contact reference, mailing-list reference, time, request method and browser user-agent information. The reference allows the outreach system to apply your preference; the public unsubscribe page does not display your email address.
Clinical case information
This website has no patient-file upload. Scans and prescriptions can contain health information, so please contact the lab to confirm the appropriate submission route and the information required before sending an identifiable patient case. Do not include patient information in a marketing reply or unsubscribe request.
This notice explains website and business-contact processing. Ask the lab about the arrangements, responsibilities and retention requirements for your clinical case information before submitting it.
Why we use it
- Our legitimate interests in running and protecting the website, responding to business enquiries and considering relevant practice relationships, balanced against people's rights.
- Consent where it is required for a particular marketing contact.
- Our legitimate interests in respecting objections and maintaining suppression records so unwanted marketing does not resume.
- Contractual necessity where personal information is required for an agreement with you, or a legal obligation where a particular record must be kept by law.
These business-contact purposes do not establish a basis for processing patient health information. We do not sell practice-contact information.
Who sees it
People working for the laboratory or handling practice enquiries and outreach on its behalf, and the service providers needed for those tasks. These include Cloudflare for website delivery and unsubscribe records, Google Workspace for the outreach mailbox and contact records, and the lab's email and telephone providers. If you use WhatsApp, that service also handles the message under its own terms.
Providers may process information in more than one country. You can contact us for details of the providers and transfer arrangements relevant to your enquiry.
How long we keep it
We keep business-contact research and enquiries for as long as they are needed to assess a relevant practice relationship, respond to the enquiry and manage any resulting business relationship or applicable record-keeping obligation. We remove information when it is no longer needed for those purposes.
We retain the minimum suppression information needed to respect an objection and avoid contacting you again. Unsubscribe evidence is retained where needed to apply and demonstrate that preference. Deleting an outreach row does not delete the suppression record.
Your rights
You can object to direct marketing at any time. Reply to the marketing email, use its unsubscribe option or email mo@vertexdentallabs.com. We will stop the marketing and retain the minimum record needed to respect your choice.
Depending on the circumstances, you can ask for access, correction, deletion, restriction or portability of your personal information, and object to processing based on legitimate interests. Where we rely on consent, you may withdraw it. Contact admin@vertexdental.co.uk; we normally respond within one month and will explain if a lawful extension or exception applies.
If you are unhappy with how we have handled your information, please tell us first. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Changes
If we change how we use your information, we will update this page and the date at the top.
